TERMS AND CONDITIONS OF THE PHOTO TEAM & ASSOCIATED BRANDS

IMPORTANT NOTICE

By accessing this website or engaging in business with The Photo Team, Events Paparazzi, Open Photo Booths, Video 360 Booth, or The Glambot Booth, you agree to be bound by these Terms and Conditions. If you do not agree to these terms, you must immediately cease using this website and engaging in any further dealings with any of our brands.

The Photo Team reserves the right to update these Terms and Conditions at any time without prior notice. Continued use of the website or our services after changes take effect constitutes your acceptance of the revised Terms and Conditions.

I. DEFINITIONS

• “The Photo Team” refers to The Photo Team Photography Ltd and all affiliated brands:
  • Events Paparazzi (eventspaparazzi.co.uk)
  • Open Photo Booths (openphotobooths.co.uk)
  • Video 360 Booth (video360booth.co.uk)
  • The Glambot Booth (theglambotbooth.com)
• “Website” refers to all pages and content within our domains.
• “Visitor/User” refers to any individual accessing any of the brands’ websites.
• “You/Your” refers to any Visitor, User, Purchaser, or Client engaging with any of our brands.
• “Photographer/Videographer” refers to individuals contracted to provide photography or videography services.
• “Purchaser/Client” refers to any individual or business purchasing services, photos, videos, or related products.
• “Confirmed Booking” refers to a booking that has been secured with either a deposit or full payment.

II. GENERAL TERMS AND CONDITIONS

1. Scope of Services

The Photo Team and its associated brands provide photography, videography, and experiential event services, including but not limited to:

• Professional event photography & videography
• Red carpet paparazzi-style photography (Events Paparazzi)
• Open-style and enclosed photo booths (Open Photo Booths)
• 360 video booths for immersive event experiences (Video 360 Booth)
• Glambot booths for high-speed cinematic event videos (The Glambot Booth)

All services are subject to these Terms and Conditions, and by booking any of these services, you accept these terms.

2. Amendments and Modifications

• The Photo Team reserves the right to modify, update, or supplement these Terms and Conditions at any time without prior notice.
• The latest version will always be available on our website. Continued use of our services after modifications constitutes acceptance of the revised terms.

3. Intellectual Property & Use of Captured Media

• By engaging The Photo Team, you grant us a perpetual, worldwide, irrevocable, non-exclusive, royalty-free license to use captured images and footage for promotional and marketing purposes.
• This includes, but is not limited to:
  • Website, social media, and digital advertising
  • Print advertisements, brochures, and exhibition materials
  • Photography competitions and industry publications
• If you wish to restrict the use of your event’s imagery, a non-disclosure agreement (NDA) must be signed before the booking is confirmed.

III. CONFIRMED BOOKINGS & DOCUMENT PROVISION

1. Definition of a Confirmed Booking

• A booking is only confirmed once a deposit or full payment has been received.
• Tentative bookings without payment do not secure availability.

2. Provision of Documentation

• The following documents will only be provided once a booking is confirmed:
  • PAT Testing (Portable Appliance Testing) certificates
  • PLI (Public Liability Insurance) certificates
  • Indemnity insurance documentation
• Requests for documentation before confirmation of booking will be refused.

IV. SERVICE AVAILABILITY & RIGHT TO WITHDRAW SERVICES

1. All Services Are Subject to Availability

• Bookings are confirmed only upon full payment.
• The availability of services is not guaranteed until confirmed in writing.

2. Right to Withdraw or Modify Services

• The Photo Team reserves the absolute right to refuse, withdraw, or modify services at its sole discretion, including but not limited to:
  • Unforeseen logistical challenges
  • Unsafe working conditions
  • Client breaches of contract
• If The Photo Team cancels a service before confirmation, no liability will be accepted.
• If a confirmed service is withdrawn, The Photo Team will offer a reasonable alternative or refund for the affected portion.

3. Force Majeure Clause

• The Photo Team is not liable for cancellations due to events beyond its control, including:
  • Natural disasters, extreme weather, pandemics
  • Power outages, equipment failure
  • Acts of terrorism, war, civil unrest
• No refunds or credits will be provided for cancellations caused by force majeure events.

V. SERVICE SETUP, ACCESS & OPERATIONAL REQUIREMENTS

1. Setup & Space Requirements

• Clients must provide sufficient, unobstructed space for setup:
  • Open Photo Booths: 1.8m x 1.8m
  • Video 360 Booth: 1.8m x 1.8m
  • Glambot Booth: 4m x 4m
• Setup areas must not obstruct fire exits, emergency routes, or general walkways.

2. Loading Bay & Venue Access

• Clients are responsible for arranging venue access, including loading bays, security clearance, and parking permits.
• Failure to provide proper access may result in delays or cancellation without refund.

3. Idle Time & Early Access Charges

• Billing starts once the setup is completed, regardless of whether the service is in use.
• Clients requesting early setup before the agreed start time will incur additional idle time charges.

VI. CANCELLATION & REFUND POLICY

• No refunds will be issued once payment has been made.
• No credit notes will be provided under any circumstances.
• If The Photo Team cancels a service, a refund will only be provided if the cancellation was not due to client breach or force majeure.
• Cancellation due to failure to provide access, space, or power will be treated as a client fault and no refund will be issued.
• Once a payment has been made for a booking, any requests to amend the booking will be reviewed on a case-by-case basis at the sole discretion of The Photo Team. All decisions regarding amendments are final.

VII. LIMITATION OF LIABILITY & INDEMNITY

• The Photo Team is not liable for any direct, indirect, incidental, consequential, or special damages arising from the use of its services.
• Clients agree to indemnify and hold The Photo Team harmless against all claims, damages, and legal expenses related to:
  • Client negligence
  • Failure to provide proper setup conditions
  • Third-party disputes

VIII. FINAL AGREEMENT

• By paying an invoice from The Photo Team or any associated brand, you confirm that you have read, understood, and accepted these Terms and Conditions.
• It is your responsibility to seek clarification before making payment.
